We are Hiring: Part-time Operations Manager

The Museums Association of Namibia (MAN) invites suitably qualified individuals to apply for the position of Part-time Operations Manager.

About the Role
This role is the operational heartbeat of the organisation, supporting the director across office management, human resources, finance, compliance, and strategic planning to keep everything running like clockwork. With a sharp eye for detail and an even sharper knack for organisation, the Operations Manager ensures that systems, people, and paperwork are all where they should be, on time, on record, and on point.
• Two and a half (2.5) working days per week (Monday to Friday, 08h00-12h00)
• This equates to 20 hours/week of dedicated service
• 15 August 2025 to 14 August 2026 (renewable) NB: Must be able to start on 15 August 2025
• Remuneration: N$15,000.00, total cost to company
• This position may be either on-site or through a hybrid arrangement (to be agreed upon)


Core Responsibilities Include:
1. Office & Administrative (Operational) Management
• Drafting and updating of policies
• Arranging and minute-taking for the Executive Committee Meetings
2. Human Resources Administration
• Managing Staff Records
• Drafting contracts
• Keeping track of and updating leave records
• Internship programme oversight
3. Finance Management
• Assist the director with budgeting, financial reporting and grant compliance
• Monthly payroll
• Monthly petty cash reconciliation
• Liaise with the accounting advisor/bookkeeper on VAT returns and the preparation of monthly management accounts, and liaise with auditors


Required Qualifications and Competencies:
• Namibian citizen or permanent resident
• Minimum of a Bachelor's degree in accounting, business management or finance management
• A minimum of 5 years of practical experience in an operational or senior management capacity
• Minimum of 3 years work experience in a project-based organisation, preferably an NGO in Namibia
• Proficient in Pastel Payroll
• Strong attention to detail, excellent communication skills, and the ability to multitask effectively
• Demonstrated ability to work independently and exercise sound judgment
• High levels of initiative, reliability, and integrity
• Solid experience with financial management and human resource practices
• Proficiency in Microsoft Office, email systems, and cloud-based collaboration tools is essential
